Position Purpose
Providing secretarial, administrative, and organizational support for the group in Belgium and Lebanon.

 Years of Experience: 0-2

 Preferable Gender: Female

 Languages: Arabic, English & French

 Duties & Responsibilities

1. Finance Admin
- Assists the Accounting department in accomplishing hard filing
- Assists in basic accounting tasks including invoicing
- Submits necessary data entry (on and off the system)

2. Logistics Admin
- Assists in planning, preparing, and processing shipments
- Prepares bookings, packing lists, BL instructions, for shipments
- Follows up on shipments and ensures all documentation is done
- Ensures that ETA sheet is updated timely
- Assists the Logistics department in accomplishing hard filing

3. HR Admin
- Is assigned basic HR tasks: filling forms, basic research, job posting
- Schedules meetings when requested
- Arranges flights and reservations when needed
- Filters info email and highlights urgent correspondence
- Business trips agendas
- Ensures that email renewals and hosting is planned and done on time (yearly)
- Keeps an updated data of the company contacts

4. Marketing Admin
- Assists in handling platform: admin. part with sales rep. supervising
- Submits basic presentations on power point
- Website backend: inserts necessary data provided by concerned parties on the group websites (and social media platforms
- Filing for exhibitions catalogues, brochures and business cards based on predefined criteria (country/product/supply/sales…etc.)

Skills and Requirements:
- Preferably having experience in documentation, admin, accounting, secretary
- Implementing shipments process
- Knowledge in Excel, Power Point, and another Microsoft Word
- Team Oriented
- Operations n to Multinational Environments
- Communication & Organizational Skills
- Attention to Details and Deadlines
- Computer Literacy
